Booking reminders email the booking owner before a facility booking starts. Reminders are on by default for each facility, and a Facility Manager or Super Admin can change when they’re sent or turn them off.
Change a facility’s reminder settings
- Go to Facilities → My Facilities.
- Create a facility or edit an existing one.
- In Basic Information, find the booking reminder settings.
- Turn reminders on or off, choose how far ahead to send them, and optionally enter a custom email subject and message.
- Save the facility.
You can set the lead time in hours or days, up to 30 days before the booking. If you leave the subject blank, the email uses “Reminder: Your [facility] booking is coming up.” A custom message replaces the default introduction; the booking details still appear in the email.
What the email includes
The reminder shows the booking’s start and end times in the organization’s local time, along with any booking instructions set for the facility. Account holders get a link to their bookings; other recipients are directed to contact your team to make changes.
One email is sent to the booking owner’s contact address—not to every participant. Reminders are email-only.
When reminders are sent
A reminder is scheduled for approximately the selected lead time before the booking starts. If that send time has already passed when a booking becomes eligible, no reminder is sent for that booking.
Changing a booking’s start time or the facility’s lead time reschedules an unsent reminder. Turning reminders off or deleting the booking removes an unsent reminder. A reminder that has already been sent is not sent again after a change. Temporary bookings, block-offs, buffer holds, and past bookings do not receive reminders.
